This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our Site or use our services. Please read this policy carefully. Information you provide directly: When you fill out our contact form, sign up for our services, or otherwise communicate with us, we may collect your first and last name, email address, phone number, business name, and message content.

Voice AI and call data: SNSYS provides AI-powered phone receptionist services to businesses ("Client Businesses"). When you call a Client Business that uses the SNSYS platform, we may collect the following data as part of delivering the service:

Payment data: If you subscribe to our services, payment information (credit card, billing address) is collected and processed by our payment processor, Stripe. We do not store your full card details on our servers.

We do not collect sensitive personal information such as Social Security numbers or health information through the Site or our services.

5. SMS and Text Messaging

SNSYS provides transactional SMS and text messaging services on behalf of businesses that use our platform ("Client Businesses"). If you interact with a Client Business that uses SNSYS (for example, by calling their AI-powered phone line), you may receive transactional text messages related to that interaction.

Types of messages you may receive:

How your phone number is collected: Your phone number is captured via caller ID when you voluntarily call a Client Business phone number, or when you provide it directly to the Client Business during the course of your business relationship.

Consent: By voluntarily calling a Client Business that uses the SNSYS platform, you consent to receive a transactional follow-up text message related to your call. Client Businesses that import existing customer contact information represent that they have obtained proper consent from those individuals.

Opt-out: You may opt out of receiving text messages at any time by replying STOP to any message. You may also reply HELP for assistance. Upon opting out, no further messages will be sent to your number from that Client Business.

Message frequency: Transactional messages are typically 1 to 5 messages per interaction. Promotional messages (sent only with express consent) vary in frequency. SNSYS does not send unsolicited messages to individuals who have not opted in.

Costs: Standard message and data rates from your wireless carrier may apply.

Third-party messaging provider: SMS messages are delivered through Twilio, which processes phone numbers and message content for delivery purposes.

No mobile information sharing: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5a. Collections and Billing Reminder Data

When a Client Business enables SNSYS Revenue Recovery features, the following additional data is processed:

This data is obtained from the Client Business's invoicing system with their explicit authorization. Phone numbers are transmitted to our SMS provider (Twilio) solely for message delivery. Customer data is retained only for the duration of the active billing relationship and is deleted within 30 days of invoice resolution or account closure. Recipients may opt out at any time by replying STOP.

No mobile information sharing: No mobile information collected for billing and collections purposes will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

6. Voice AI and Call Recording

SNSYS provides AI-powered phone receptionist services. When you call a phone number operated by a Client Business through the SNSYS platform, your call is answered by an artificial intelligence system. The following processing occurs automatically:

Call recording: Call recording is disabled by default. Client Businesses may choose to enable call recording in their settings. When recording is enabled, a consent announcement ("This call may be recorded for quality and training purposes") is played at the beginning of the call before the AI receptionist answers. Call recordings are stored by Twilio and are accessible to the Client Business. If you do not wish to be recorded, you may disconnect the call after hearing the announcement.

Transcripts without recording: Even when call recording is disabled, a text transcript is generated from the live conversation via real-time speech-to-text processing. This is how the AI participates in the conversation and is necessary for the service to function. No audio recording is stored when recording is disabled.

7. AI and Automated Processing

SNSYS uses artificial intelligence and automated processing in the following ways:

No automated decisions are made regarding creditworthiness, employment, insurance, or other legally consequential outcomes. We implement reasonable administrative, technical, and physical safeguards to protect the personal information we collect. Our Site is served over HTTPS, and form submissions are transmitted securely. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
